What this policy covers
This policy explains how we collect and use personal data when you use our website (pixiedustwanderlust.co.uk), buy our digital products (including the Magic Trip Starter Kit), or use the Pixie Dust Planner app. The app has its own account system and is built on the Stencil platform; where the app processes data differently from the website, this is noted below.
Information we collect
Account and purchase information: name, email address, billing address, and purchase history. Payment card details are never seen or stored by us directly — these are handled by our payment processors, Stripe (for the app) and Mollie (for website purchases via WooCommerce).
Trip planning information: when you use the Pixie Dust Planner quiz or planning tools, we collect details you choose to share about your trip — travel dates, budget range, accommodation preferences, and household composition, which may include the number and age range of children travelling (e.g. "two children, ages 3–17"). We use age ranges rather than exact birth dates wherever possible, and we don’t ask for children’s names as part of this process.
Marketing and correspondence: if you sign up to our mailing list, we collect your email address and any preferences you share. This is managed through Flodesk.
Technical information: IP address, browser type, device information, and how you use our site, collected via cookies and similar technologies — see our Cookie Policy for full detail.
How we use your information
- To create and manage your account and process purchases
- To personalise app recommendations (hotel suggestions, itinerary tips) based on the trip details you provide
- To send you planning content, product updates, and marketing emails, where you’ve opted in
- To respond to enquiries, reviews, and support requests
- To understand how our site and app are used, so we can improve them
- To meet our legal and accounting obligations
Our legal basis for processing
We rely on: performance of a contract (creating your account, delivering products you’ve paid for); your consent (marketing emails, non-essential cookies); and our legitimate interests (improving our services, fraud prevention) balanced against your rights.
Who we share your information with
We don’t sell your personal data. We share it only with the following, each of whom is only permitted to use it for the purpose we’ve engaged them for:
- Stripe — processes payments for the Pixie Dust Planner app
- Mollie (via WooCommerce) — processes payments for website purchases
- Stencil — the platform the app is built on (Stencil Labs, Inc., based in the United States), which hosts app account and trip-planning data
- Flodesk — manages our email list and sends marketing communications
- Google Analytics — website usage analytics
- Meta (Facebook Pixel) — advertising and audience analytics
- Awin and TradeDoubler — affiliate tracking, only where you click through an affiliate link
We may also disclose information where required by law, to enforce our agreements, or if our business is sold or restructured.
International transfers
Stencil is a US company and processes app data in the United States and other countries outside the UK. Where any of our processors, including Stencil, store or process data outside the UK, we require appropriate safeguards to be in place, such as Standard Contractual Clauses or the UK’s International Data Transfer Agreement, or reliance on an adequacy decision.
Children’s data
Our services are intended for use by adults planning trips on behalf of their families. We are not a service directed at children, and children do not create accounts or interact with the app directly. Where a parent or guardian shares information about a child as part of trip planning (such as an age range), we treat that as personal data and use it only to personalise planning content — never for advertising targeted at that child, and never retained for longer than needed to serve the trip it relates to.
How long we keep your information
We keep account and purchase information for as long as your account is active, and for up to 6 years afterwards to meet UK tax and accounting obligations. Trip-planning details are kept for as long as they’re useful to you (broadly, until your trip has passed) unless you ask us to delete them sooner. Marketing data is kept until you unsubscribe or we haven’t heard from you in a long time, whichever is sooner.
Your rights
Under UK GDPR, you have the right to: access the personal data we hold about you; ask us to correct or delete it; restrict or object to our processing; request a copy in a portable format; and withdraw consent at any time where we rely on it. To exercise any of these, email support@pixiedustwanderlust.co.uk. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk) if you’re unhappy with how we’ve handled your data.
Security
We use reasonable technical and organisational measures to protect your information, including relying on payment processors who are themselves PCI-DSS compliant. No method of transmission or storage is completely secure, so we can’t guarantee absolute security.
Changes to this policy
We may update this policy from time to time. Changes take effect as soon as they’re posted here, and we’ll update the effective date above. We recommend checking back periodically.
